The easiest way to print your own envelopes is to purchase a template. Most templates will run you less than $10 and save you tons of time, but its not the only way to do it. If you would rather create your own template, to learn how to make your own from scratch.

Most envelope templates are setup so the page size is the same size as your envelope. Therefore if youre printing on A7 envelopes, the page size will be 5.25 x 7.25. This allows you to print envelopes exactly like you would a sheet of text paper, without having to adjust your printer trays, unfold the envelope or change any major settings.

This also means that you have to purchase a template the exact same size as your envelopes, since you cant change the template size later.

But each printer is different, so if you have never printed envelopes before, I highly recommend test printing a few different sizes before purchasing a template. It could save you lots of time, money and heartache in the process.

Access Printer Driver Enter Width Height & Alignment

Your printer is programmed to print 8 1/2 x 11 size paper so you need to communicate the Response Envelopes size in the printers software or driver. Otherwise your address will not print correctly on the envelope.

Since you loaded your envelope on its side , the short side is referred to as the width measurement and the long side is the height measurement in the print driver.

You will also need to select Landscape printing as opposed to Portrait.

All this is communicated in the print driver. Access it from within Word to make adjustments.

  • Look for Paper Size, Page Size or similar
  • Enter Width 3.63, Height 5.13
  • Assign the new size a name & save it so you can call it up later
  • Look for Orientation & select Landscape

In Windows, the print driver interface is dependent on your printer manufacturers software, so specific instructions may vary.

  • Enter Width 3.63, Height 5.13

How To Print Envelopes In Word

  • Click the Envelopes button in the Create group.
  • Enter a Delivery and Return Addresses.

    If you select a delivery address in the document before clicking the Envelopes button, it will be automatically filled in.

    Click the Insert Address button, select the profile you want to use, and select a contact.

  • Click Options

    The Envelope Options dialog box opens, with two tabs of options to set up the envelope.

  • Select your envelopes options.
  • Envelope Options: Specify the envelope size, customize the font used in the return and delivery addresses, and adjust the location of the addresses on the envelope.
  • Printing Options: You can specify how the envelope is fed to the printer. This setting will vary, depending on the printer youre using.
  • Click OK.

    The envelope options are saved.

  • Click Print to print the envelope, or click Add to Document to add the envelope as a new page in the current document.
  • The envelope is sent to the printer or added as its own page to the current document, depending on your action.

    Enter Your Return Address

    Open Word and under File, choose Options. From there, go to Advanced. In the menu that appears, scroll to General. Type your return address in the mailing address box. You can choose a different font if youd like. Make sure you use the mailing address and not the physical address . Word will automatically save the return address. Click OK.

    • Check to make sure you changed the paper size to the dimensions of the envelope size.

    • Check that your printer isnt sending you an error note like out of paper. This may be because you have only placed one envelope in the tray access. That single envelope is so light, it doesnt register. Open the tray access and stack up to ten envelopes, taking care not to exceed the height stack guide on the tray.
    • The error may be envelope placement. The edge of the envelope is not firmly against the side of the printer tray. Or the edge is not against the correct side of the printer tray. The envelope might be top down or top up.
    • Most commonly, if using an ink jet printer, be sure the envelope is face down. Using a laser printer, it should be face up. Where the envelope edge is placed is different on each type of printer.

    Print on envelopes

    Avoid envelopes with the following characteristics:

    Self-stick adhesives, clasps, or windows

    Thick, irregular, or curled edges

    Areas that are wrinkled, torn, or otherwise damaged

    Make sure the folds of envelopes you load in the printer are sharply creased.

    To print envelopes

    Load envelopes print-side down in the tray. For more information, see Load paper on page 23.

    On the File menu in your software, click Print.

    Setting Up Envelopes For Printing

    To set up envelopes to be printed with your letters:

  • Choose Insert > Envelope from the menu bar.
  • In the Envelope dialog box, select the Format tab , where you can select the envelope format to use. You can then arrange the layout of the envelope to suit your requirements, together with the character and paragraph attributes to be used in the Sender and Addressee areas. These attributes are accessed using the Edit buttons to the right of the dialog, next to the word Format.
  • At this stage it is not possible to vary the dimensions of the frames that will hold the Sender and Addressee information, but once the envelope has been created this will become possible and you may wish to make some cosmetic adjustments.

  • The next step is to select the Printer tab, from where you may choose the printer you intend to use, its setupfor example, specification of the tray holding envelopesand other printer-related options such as envelope orientation and shifting. You may need to experiment with these settings to achieve the best results with your printer.

    To do a mail merge, youll need to have your addresses already on an Excel list. On the Excel list, each address should be complete with company or individuals name, address, city, state and zip code. If youre creating a list on Excel, use Headers for that info.

    Already got the Excel list? Here are the steps to use via the Mailings tab for a Mail Merge:

    Open a blank Word document. Go to the Mailings tab and select Start Mail Merge. From there, youll see a drop-down menu. Choose Labels. Then choose the type of labels youll be using.
