How To Monitor Printer Usage In Your Network To Reduce Waste

Printing is an absolute necessity for the day-to-day operations of numerous industries. Many businesses can’t function without tangible documentation. To make this possible, printing should be straightforward and stress-free.

However, printing isn’t always quick or accessible. Printer usage and time lost to printer errors plague the bottom lines of businesses of all sizes. When printing stalls, efficiency plummets. Similarly, improperly configured printers waste the time of end users and IT staff alike.Whether users are unable to connect to the correct printer or have too many choices with no organization, time and money are wasted. Whatever the issues may be, printing at the corporate level is traditionally more difficult than necessary.

Printer Monitoring Tool: Alerts And Notifications

OpManager enables network administrators to perform remote printer monitoring, and receive instant alerts about faults, like paper jams, low ink levels, printer doors left open, paper being out, etc. It performs network printer monitoring and notifies the IT admin about the status of the printer based on its current action. By default, there are eight different status indications in OpManager:

  • Ready
  • Offline
  • Service

OpManager’s robust printer monitoring system helps network administrators set printer monitoring thresholds for interface traffic, errors, etc., and receive notifications by email or SMS whenever abnormal usage is detected. Moreover, by using OpMananger-Slack integration, you can notify your team members about any faults, and discuss possible troubleshooting steps. This helps you improve the resolution time of printer faults.

    Monitor Print System Health

SoftPerfect Print Inspector : printer usage monitoring and audit

Printing is an essential service in your business that is often overlooked until it is not working. You might find that much of your time is taken up firefighting urgent issues, such as:

    • in a business all printers in a branch going offline, or

    • in a school, the Administration Department printer is not working when exams need to be printed.

Imagine if you could not only receive real-time alerts as soon as any part of your print environment is not working, but also be able to anticipate potential issues and avoid the outages all together.

Best practices in print system health monitoring recommend the following:

    • an application should not monitor itself

    • use inexpensive endpoints to reduce load on the application server

    • use your existing monitoring tool to monitor all of your applications

    • be proactive to avoid print system down time rather than reactive when you receive a support call.

    • you can monitor the end-to-end health of your entire print environment, not just your printers

    • it is easier than SNMP to set up in a multi-device type environment

    • more detailed information than whether a printer or device is offline, for example, it provides real-time insights into printing behavior.

      Printer Monitoring Prevents Unnecessary Interruptions

The business letter is supposed to be sent out before the end of the day, the contract must be ready for completion. Error messages that announce the need to replace the printer cartridge usually occur at the most inopportune moment. With PRTG, you are safe from such interruptions. PRTG runs in the background and alerts you in time when toner and paper are running out, or if after a certain total number of printed pages, the acquisition of a new printer should be planned.

Printers should work and not disrupt workflows. Employees should not have to consider whether the printer is ready and whether there is still sufficient toner.

Administrators, however, should not have to constantly check this on-site. With PRTG printer monitoring, administrators know the status of every printer via remote monitoring and, when necessary, will be proactively notified.

With PRTG, everyone can work efficiently.

      Unmonitored Printer Usage Is Inefficient

When you don’t monitor your printer usage, you don’t have clear insight into the impact of printing on your bottom line. Excessive printer use can lead to direct costs like wasted toner or paper, as well as time lost to overuse. When print jobs aren’t properly distributed or prioritized, your users can’t get the documents they need, when and where they need them.

In addition, 55% of the cost of ownership of printing devices are indirect costs like management, configuration and reduction in end user productivity. This waste adds up quickly but without proper monitoring, it’s easy to lose sight of the true cost of inefficient printing.

At the same time, traditional print methods are static. Specific computers are generally linked to specific printers. For example, an end user might use a laptop to print classified information. If this laptop was initially configured to a printer in a completely different part of the building, the information might print there, leaving confidential data floating around.

This is bad for the organization’s bottom-line:

      • The user has wasted valuable company time that could have been put to better use.
      • Classified information has been printed and left unguarded, potentially damaging the company’s reputation.
      • Physical resources have been wasted on a printing error that must now be found and shredded.

Without the proper print monitoring methods in place, corporations are vulnerable to situations like this every day. This is where a can help.

How Do I Monitor Printers On My Network

      How to monitor your network devices ( PC , Server , Router , Printer , … ) | NETVN

Monitoring the print servers enables you to see a wide range of logs, including the number of print jobs, the print queues, errors, as well as consumables reports.

For example, it allows you to determine if there are too many print jobs in the queue, see the unprocessed jobs if there is low toner or no paper as well as whether the device is defective.

If employees have to wait unnecessarily long for documents to be printed, it means delays and low work efficiency. Generally, you can use software to manage the print jobs, see reports, and perform real-time tracking, set rules, and more.

      How To Control Print Jobs

During operations, a printer and plotter receive the print jobs from the print server which also eases the administration of the devices and print job queues.

Administrators can use them to assign jobs to individual printers according to specific rules. For example, it can automatically send a print job to the printer that is easiest for the employee to reach.

In environments with multiple printers, it is essential to ensure that people send their documents to the right devices. If not well managed, users may send their documents to other devices, and this has risks such as sensitive information falling into the wrong hands.

Also, the employees will waste time looking for their printouts from one printer to the other and at times may be forced to reprint the document, hence wasting time, paper, and toner. For these reasons, is important to deploy a monitoring tool in your organization.

You Have Lots Of Desktop Inkjet Printers

Its easy to understand why this happens. People dont want to walk over to the shared multifunction copier to pick up their documents. Or, they are worried about printing confidential documents on a shared device. So they get an inexpensive inkjet printer on their desk.

The problem is, desktop printers cost you a fortune in supplies. It can easily cost 10 times as much to print on an inkjet device as it does to print on a modern shared copier. And that doesnt even factor in the cost of service and support.

Also, as those printers break and get replaced, you end up with a closet full of useless ink cartridges that dont work with the new printers. Thats more wasted money.

When you implement printer usage monitoring, youll see exactly how much those desktop printers are costing you. Replacing them with a modern copier can save you quite a bit of money.

TIP: There are convenience and security features available now that can overcome all your employees concerns about using shared printers.
