Knowing how to scan a document on a printer is a useful process to know, to help ensure you reap all of the many benefits that scanning can deliver within a company or household.

To help, weve put together some useful tips and good-to-know advice to demonstrate how to scan using a printer and a step-by-step guide of how you can achieve this.

Is Your Scanner Windows 10 Compatible

Before moving on, we need to make a couple of points. First, your scanners manufacturer may supply drivers for Windows 10, but the device itself may not specifically support the platform.

For example, we tested the following tools using Canons PIXMA MG3520 all-in-one printer with a built-in scanner. The recommended drivers date back to July 2015, though Canon released a newer suite six months later. Thats still three-year-old software.

That said, the scanner portion of this AIO printer would not appear in the native Windows tools but worked correctlyusing a wireless connection, in factthrough Canons software.

If you run into similar problems, you may have an older printer or scanner thats not fully compatible with Windows 10. The device may also require a direct USB-based connection if used outside the manufacturers third-party tools. For AIO printers, you may need to tweak its networking settings, so your Windows 10 PC recognizes the scanner component in addition to the overall printer unit.

Printing From Android: The Advanced Path

The built-in system we just walked through works fine for most basic printing needs but if you require more intricate forms of mobile printing authentication or if your printing demands other advanced work-oriented features , you’ll need something a bit more robust.

The easiest answer comes from the same aforementioned Mopria Alliance, which has a free Mopria Print Service app that enables those sorts of next-level options. Once you’ve installed the app, accepted its terms, and granted it the necessary permissions to operate, you’ll follow the same steps described above to print from any print-supporting program on your phone. The Mopria Print Service will automatically take over as your device’s default print service and provide you with any advanced possibilities available on the printer you’re using.

The Mopria Print Service app is a viable option for phones running older versions of Android as well since it’ll work with practically any phone and Android version and it has the side perk of empowering you to print from anywhere on your device, regardless of whether a proper print command is present: Simply use the standard Android share command and then select “Mopria Print” from the menu that appears. You could even use that capability to select a chunk of text from an email, a web page, or anywhere else imaginable and then send only that specific text to a printer.

Set Up A Scanner To Use With Mac

You can add a scanner to the list of devices in Printers & Scanners preferences.

If youve already set up a printer that includes a scanner, you may be able to use its scanner features without any additional work. Select the printer in the list at the left, then click Scan.

  • Before setting up your scanner, make sure macOS has the latest scanner software available to it. Check with your scanners manufacturer to see if any updates are available for your scanner model.

If you have a multifunction AirPrint printer and scanner, you dont need to check for software updates.

  • Follow the instructions that came with the scanner to unpack it and connect it to your Mac.

If your Mac has a single USB-C port, and you want to connect a USB scanner, use a multiport adapter. Connect the scanner, then connect a USB-C cable to a power supply to prolong the battery life of your Mac. See Use USB-C cables with your Mac.

Important: Dont install software that came with the scanner. Your macOS computer downloads the latest scanner software automatically.

  • Choose Apple menu > System Preferences, then click Printers & Scanners .

  • If you dont see your scanner in the list at the left, click the Add button . If a pop-up menu appears, choose Add Printer or Scanner.

  • Select your scanner, then click Add.

If your scanner isnt in the list, see the documentation that came with the scanner to find out how to scan with it.

Scanning With Android Via A Physical Scanner

If you’re near a physical scanner or multifunction printer, capturing a document and saving it onto your phone is a cinch: Just grab the free Mopria Scan app, created and maintained by that very same organization we talked about in the last two sections .

Open the app up, accept the necessary terms and permissions, and make sure you’re connected to the same Wi-Fi network as the scanner you want to use then look for your scanner in the list the app spits out. If you don’t see the scanner you need, look for the button to manually add a scanner by entering its name and IP address .

Once your scanner shows up, just tap its name to initiate a scan.

    Manually Adding A Printer

Before starting this procedure, you must ensure the following: your printer has power, is turned on, and is connected to your computer. If you have a network or wireless printer, you should also check if it’s connected to the same network that your computer uses.

Once you’ve double-checked the above, try to restart your printer and see if your computer will detect it now. If it still doesn’t, then let’s proceed with adding your printer manually.

First, click on the Start button, then go to Settings. In the Settings window, go to Devices> Printers & scanners. Under the Add printers & scanners section, select the Add a printer or scanner button. Wait for the computer as it tries to find nearby devices, both connected directly to your computer or via the network.

Once your computer detects all nearby devices, select the one you want to use and click on Add device. It will then automatically add your machine, and you can choose it from your scanning options later.

However, if that doesn’t happen, click on The printer that I want isn’t listed link. Windows will then open a wizard to add your printer. Just follow the instructions to install your device.

Once you’ve added the hardware, you can open the apps to start your scan. Windows offers two ways of scanning documents the first is the legacy Windows Fax and Scan app, and the second is the newer Windows Scan app. We will tackle both below.

    How To Scan A Document

    Solved: can
  • Turn on the scanner.
  • Locate the software for the scanner on your computer. If you don’t have the software that came with the scanner, most versions of Windows have a Windows Fax and Scan program installed, which works with most scanners.
  • Count the number of pages you want to scan. If you are working with only one side of the page, we recommend using the flatbed, shown in the first picture below. If you are using either multiple pages or one page needing both sides scanned, you need a scanner with a feeder port, shown in the second picture below.
  • Example of a flatbed on a scanner

Example of a feeder on a scanner

  • When using the Windows Fax and Scan software, you need to verify at the bottom left of the computer screen that Scanner is selected, not Fax.
  • Put the page that needs to be scanned on the flatbed or in the feeder. Most scanners have directions on how to insert the paper, either face up or face down. Especially when using the feeder, make sure the paper is seated correctly so it is grabbed correctly.
  • In the scanner software, click the New Scan or similar option.
  • In the New Scan window, you’ll need to change any settings that might apply from the available options. For example, options may include Profile, , Papersize , Color format, File type, Resolution , Brightness, and Contrast. Change each of these depending on the type of document you are scanning.
  • Once those options are changed, click Scan.
