Putting the barcode in the perfect spot is essential. Otherwise, if you mess this stage up your entire barcode inventory control system comes tumbling down.

Print It Out For Faster Hands

While our Sortly team recommends getting organized with our inventory app from the get-go, we understand that a lot of people are more comfortable with a spreadsheet. If you choose to use one of our inventory templates, we recommend printing out the template, sticking it on a clipboard, and physically counting your inventory. You can record key item details, including quantity, right onto the printed sheet.

At the end of the day, using barcodes to process data is going to be far more accurate than inventory data entered manually.

Generate Inventory Tracker Reports

Inventory tracker reports and analysis charts are relatively easy to generate, providing you are diligent about inventory tracking. You can choose to create reports on a daily, weekly, bi-weekly, or monthly basis, as well as create quarterly and yearly reports.

Set up your basic parameters for inventory and then dragging and dropping the sheet to a new Excel workbook. This automatically copies all of your work to the new one, which gives you a clean inventory page for each day, week, month, or however long you choose to keep records.

How to Count Inventory Using Excel &  Barcode Scanner

Open Excel, and type “Inventory” or “Items” in the first cell and press Enter. You will need this as a label for the items later when it comes to counting your inventory. The cursor now appears on the first empty cell below “Inventory.”

Connect the barcode scanner to your computer, smartphone or tablet, and scan the first item. The barcode should appear in the first cell of the spreadsheet. If the cursor doesn’t automatically move to the second cell in the column, check your scanner’s documentation to see how you can make it insert a carriage return after every scan. Otherwise, you will have to press Enter after each scan.

Scan all of the other items in your inventory. Each item will be entered in a new cell in the same column of your Excel worksheet.

The History Of Barcodes

In 1948, Bernard Silver heard the president of a supermarket chain discussing his desire to implement a system to automatically read product information, rather than having checkers manually enter prices into a cash register. Silver brought in a friend, Norman Joseph Woodland, to work on the idea. They first tried creating a system that used ultraviolet ink, which showed some promise but turned out not to be workable.

Woodland went off on his own and created the idea of a barcode after drawing lines in the sand inspired by Morse code dots became thin lines, dashes became thick lines. He then turned the lines into concentric circles to allow omnidirectional scanning.

In 1949, Woodland and Silver applied for a patent. It was issued in 1952, and it covered both the linear and circular versions.

Barcodes were first used in 1961 by a railroad to identify cars while they were in motion, then spread to toll bridges, and finally inventory control.

The UPC was proposed in the 1960s and first tested in 1972 at a store in Cincinnati, using a circular code the results from this test showed that vertical bars worked better. The first commercial scanning system was installed at a store in Troy, Ohio, in 1974.

The U.S. Department of Defense implemented a barcode inventory control system in 1981 all vendors had to mark any products sold to the DoD with a barcode. This helped push them into more common use for inventory control.

How Excel Barcodes Work With Android Iphone And Macs

You can create barcodes in Excel on a Mac, just like you would on a PC. Apples iOS doesnt support custom fonts, so you cant view, edit, or create barcodes on an iPhone. An app called AllFonts claims it can get past this restriction, but we have not tested it. Android devices accept custom fonts, so you can download a barcode font to your phone and use it in the Excel app to view, edit, and create barcodes using the same steps above.

Maintain Inventory History Over Time

To maintain inventory history, try creating a new tab for every count or audit you complete. If this process seems too labor intensive, remember that an inventory app like Sortly can effortlessly track these changes for you.

Hi hopping to find the write formula, I am able to scan and see the product I would like to scan and be able to pull up my item from the table data and add a 1 to say that I have stock once its open at the moment I can see all my inventory sku’s on my app just missing the formula to make it all work.

    When To Take Inventory

    A business that uses inventory spreadsheets may take inventory daily, weekly, monthly, quarterly or annually. These companies take physical inventory, also known as periodic inventory. That means they audit what they have on hand at regularly-scheduled intervals.

    Create Running Inventory Totals

    For smaller businesses, or those with only a few large ticket items to keep track of, single inventory pages are the most convenient, because they allow you to allocate one page to each product.

    For larger businesses, or those with more products, you can create a running inventory for sales, profits, and products.

    The simplest example is deducting sales from your original stock figure: =SUM, replacing the D8 and E8 with specific cell locations that you want to subtract from each other. Create an original stock line and use that to deduct your sales from. This gives you an instant total that updates whenever you change the number in either cell. You can update the cell using either a manually entered number or using a scanner.

    Dont forget you can use Autofill to populate cells using the same formula. Select the cells that contain the data that you want to fill into adjacent cells, then drag the fill handle across the cells. This will stop you from having to repeat the formula in multiple boxes for multiple products.
